Job Overview
The Administration Executive builds a sustainable long-term model to support operations by addressing compliance requirements for WIA’s global operations. They also help identify and mitigate global business functions' operational and administrative risks.
Responsibilities and Duties
- Liaise with technical writers to review business proposals and statements of work and develop business-specific templates and documents required globally.
- Coordinate with external advisers/ 3rd party vendors to support corporate and operational aspects of international project offices.
- Facilitate, administer & verify liability, compensation, risk, and indemnity Insurance schemes, including purchasing, upgrading and renewal of such.
- Administer & deliver necessary demonstrations/training of administration tools to both internal and external personnel. (e.g., DocuSign).
- Support the establishment, implementation & function of international project offices in different global locations.
- Coordinate with the business teams for timely responses to ‘Request for Information (RFI).
- Conduct assessment for compliance and issues impacting global operations.
- Coordinate with statutory agencies to ensure compliance with state-wide reporting requirements.
- Maintain a database of global office documentation in a highly confidential and safe environment.
- Strategic involvement in the development of global policies to support compliance certifications.
- Aware and update executives regarding possible gaps in administration and compliance functions globally and take swift actions to minimize their impacts on the business’s continuity.
- Support and assist temporary foreign employees in the organization with immigration, visa and residency permits.
Qualifications
- Minimum educational requirements: A bachelor’s degree in quality/ compliance is a must (MBA or MSc would be an added advantage).
- Expected experience level: 3+ Years in the capacity of Administration, Quality or Compliance functions.
